Job Description
The appointee will be required to:
- provide secretarial and administrative support to two directors and their teams, and the relating committees;
- manage calendar and schedule appointments, meetings, and events with internal and external parties;
- plan and coordinate travel arrangements, including sourcing quotations, booking transportation and accommodations, and preparing related documentation;
- assist in the preparation and distribution of meeting materials, and coordinate logistic arrangement of meetings;
- manage and maintain the filing systems across multiple locations;
- update internal systems and databases to support project tracking and documentation;
- maintain and handle formal documentation and records to ensure compliance with internal standards; and
- perform other duties as assigned.
Requirements
- A higher diploma or above;
- 5 or more years of secretarial and/or administrative experience in sizable organizations, with experience in government departments or public organizations being an advantage;
- A good team player with excellent interpersonal skills;
- Meticulous, able to work independently, highly-organized and capable of working under pressure with multi-task assignments;
- High proficiency in MS Office applications and Chinese word processing; and
- A good command of written and spoken English and Chinese, with fluency in Putonghua being an advantage.
